Course Reserves Policy

The Golden Library maintains a selection of material instructors have placed on reserve for students use. The material held on reserve may change each semester. Reserve items do not have the same loan period as other items in the general collection. Student workers need to inform patrons the loan period of reserve items as they check them out. Each course reserve loan period is set by the instructor. Student workers are required to create Course Reserves as needed. 

Course Reserves Circ Desk Workflow

When checking Reserves out to a patron, students must:

  • Scan the item's barcode.
  • Inform the Patron that the sleeve is required to remain on the material.
  • Double check the time out requirements and ensure the patron’s account reflects the time set.
  • Desensitize if allowed to leave the building, or ensure it remains sensitized if it is to remain in the library.

Library Owned Course Reserves

In-processing

  1. Add a temporary location to the item record of "course reserves" and a staff note reading "!Course reserve for COURSE NUMBER/INSTRUCTOR LAST NAME. Reshelve in reserves.!"
  2. Add item to the Course Reserves Excel notebook on the current semester's worksheet. The workbook is located in the Circulation folder of the shared drive. 
  3. Add a reserve band to the book with the check out period/overnight checkout filled out. At the top of the band in large lettering put the course number and instructor's last name. DO NOT tape anything to the books. If the reserve band covers the barcode, cut out a window so it can be scanned. 
  4. Create a shelf label with the course number and instructor's last name to add to the course reserves shelf for ease of access for the circulation students. 
  5. Fill out the "Course Reserve" form so the item can be added to the LibGuide for Course Reserves.

Out-Processing

  1. Remove the reserve band from the book.
  2. Remove any reserve information taped to the item (reserve sticker, course info)
  3. Remove the temporary location and staff note from the item record in WMS.
  4. Remove the shelf label for the class if no items remain. 
  5. Reshelve the material in its correct location.

Instructor-Owned Course Reserves

In-Processing

  1. Add a reserve band to the book with the check out period/overnight checkout filled out. At the top of the band in large lettering put the course number and instructor's last name. DO NOT tape anything to the books. Add a barcode to the band on the inside, 1" from the bottom.
  2. Create a temporary record for the item in the circulation tab of WMS. 
    1. From the Discover Items tab scan the barcode into the Enter Barcode search box. 
    2. In the popup box make sure the barcode is correct, the item type is set to "temporary item", enter the title into the title box, in the author box enter "Instructor's last name/RESERVE", and set the shelving location to "Course Reserves"
    3. Once the record is created, open it up and add a staff note that reads "!Course reserve for COURSE NUMBER/INSTRUCTOR LAST NAME. Reshelve in reserves.!"  In the "Description" field add a note reading "Personal copy belonging to NAME OF PERSON". 
  3.  Create a shelf label with the course number and instructor's last name to add to the course reserves shelf for ease of access for the circulation students. 
  4. Fill out the "Course Reserve" form so the item can be added to the LibGuide for Course Reserves.

Out-Processing

  1. From the Circulation tab, scan the barcode into the "Enter Barcode" field, open the temporary record and select "delete" in the top right corner. (Note: Using the Local Holdings record barcode search below the Enter Barcode field will not find temporary records)
  2. Remove the reserve band.
  3. Remove any reserve information taped to the item (reserve sticker, course info)
  4. Remove the shelf label for the class if no items remain. 
  5. Either set the item aside for pickup or give it to the circulation manager to mail back to the instructor.
